How to Make a Notion Template
When creating a Notion template, you have the power to do so many things. You can format, add checkboxes, headings, and more in the Template section. You can even bring in entire sub-pages. Whenever you need to use them, just click the corresponding button and their content will be replicated.
Examples
To truly grasp the capabilities of the Template Button, let me show you some examples.
To-Do Lists
One of the most popular uses of the Template Button is for creating to-do lists. If you’ve ever used a Notion workspace made by someone else, you may have seen an “Add a New To-do” option. Simply clicking on it creates a new to-do item. This function is made possible by the Template Button. All it takes is defining a Template Button to add a single checkbox line when clicked.
Here’s a handy tip: if you want the checkbox item to appear at the top of your list, place the Template Button right below the list’s name. On the other hand, if you prefer the button to add a checkbox line at the bottom of the list, put the Template Button at the bottom.
Journal
Encouraging your team to create journal entries on their own is a great way to familiarize them with Notion. However, this could lead to confusion on a page. To make Notion as user-friendly as possible, the Template Button comes to the rescue.
Let’s talk about the journal function. Instead of each team member creating a new journal entry individually, you can use the Template Button to automatically add a new journal entry template.
Editing the Content Within a Template Button
Once you’ve created the Template Button, it’s not set in stone. You can edit the content anytime you want. Just hover your mouse pointer over the Template Button and you’ll see a gear icon appear. Click the gear icon and a configuration form will appear. From there, you can make any changes you want. When you’re done, click Close to save your changes.
Deleting/Modifying a Template Button
If you want to start from scratch or no longer need a template button, you can delete it at any time. Deleting a Template Button works the same way as deleting any other content block. Just hover over it with your mouse and click the 6-dotted icon on the left margin or the three-dot icon on the right. Then, click Delete to remove the button. Be careful because if you want to bring it back, you’ll have to create it again.
If you want to move the Template Button to a different place in your workspace, click Move To. To create an identical button that does the same thing as the current Template Button, click Duplicate.
If you want to copy a link to the button for hyperlinking or pasting elsewhere, click Copy Link.
Finally, if you want to add a comment on the button, click Comment.
Working on a Template
Templates are crucial in Notion. They make your workflow easier and allow every team member to use a unique platform. However, the first version of a template is rarely the final one. So, don’t hesitate to modify the button and its content until you have a good template.
Instead of deleting a template if it’s not perfect, it’s better to tweak an existing one. Remember, templates should be worked on in iterations.
Creating Templates
Adding templates in Notion is easy. You just need to use the Template Button function. Editing this function is also straightforward. However, planning how you’ll use templates to make the workspace more organized is the key to success in Notion. So, embrace those Template Buttons and soon your workspace will become more logical.
